You have the right to request deletion of your Zapwa account and all associated personal data at any time. This page explains how to submit a deletion request, what will be deleted, what we are legally required to retain, and the timelines you can expect.

Notice for Meta App Review

This page satisfies Meta's App Review requirement for a publicly accessible Data Deletion Instructions URL (also referred to as a "data deletion callback URL") for apps using the WhatsApp Business API. If you connected your account to Zapwa through a Meta login or Facebook Login for Business flow, you may also submit a data deletion request directly through your Facebook account settings.

Overview

Under the Digital Personal Data Protection Act, 2023 (DPDP Act) and the General Data Protection Regulation (GDPR), you have the right to request erasure of your personal data ("right to be forgotten"). Zapwa honours this right fully and has implemented straightforward processes to allow you to exercise it.

We provide three methods for submitting a deletion request: self-service through the Zapwa dashboard, email to our Privacy team, and a written postal request to our registered office. All three methods are accepted and will be processed with equal priority.

Please note that account deletion is a permanent and irreversible action. Once deletion is confirmed, your data cannot be recovered. We strongly recommend exporting any data you wish to retain before submitting a deletion request.

Method 1: Self-Service Account Deletion

The fastest way to delete your account is directly from within the Zapwa platform:

    Log in to your Zapwa account at app.zapwa.in

  2. 2

    Navigate to Settings in the sidebar, then select Account.

    Scroll to the bottom of the Account page and click "Delete My Account".

    Confirm the deletion by entering the OTP sent to your registered email address and/or phone number. This step is required to protect your account from accidental or unauthorised deletion.

    Once confirmed, account deletion is initiated immediately. You will receive a confirmation email. Active data is deleted within 7 days; backup snapshots are purged within 30 days.

Method 2: Email Deletion Request

If you cannot access your account, or if you prefer to submit your request in writing, send an email to our Privacy team at the address below:

Subject line (required): DATA DELETION REQUEST

Include the following in the body of your email:

  • Registered email address associated with your Zapwa account
  • Registered phone number associated with your Zapwa account
  • Company or business name as registered in Zapwa
  • Reason for deletion (optional — this helps us improve our service but is not required)

Upon receiving your request, we will verify your identity before processing the deletion. This verification step protects you from unauthorised deletion of your account. We will contact you at the email address provided for verification.

Method 3: Written Postal Request

If you are unable to submit your request electronically, you may send a written request by registered post to:

Your postal request should include the same information as listed for the email method above. Please send it by registered post with acknowledgment due (RPAD) to ensure delivery confirmation. Processing timelines begin from the date we receive and verify your identity.

What Will Be Deleted

Upon verification of your deletion request, the following data will be permanently and irreversibly deleted from our active systems:

Account profile: name, email address, phone number, and password hash

Business information: company name, GST number, registered address, and industry

WhatsApp Business Account (WABA) credentials and encrypted access tokens

Phone Number ID and WABA ID connection data stored in Zapwa

All contact lists, phone numbers, names, and custom fields uploaded by you

Opt-in consent records associated with your contacts

All message content within the 90-day retention window

Message metadata: delivery status records, read receipts, timestamps

Template messages and campaign configurations

Team member accounts and role assignments linked to your workspace

API keys and webhook configuration data

Usage analytics and campaign performance data attributed to your account

What We Are Required to Retain (and Why)

In limited circumstances, applicable Indian law and our legitimate business interests require us to retain certain data even after an account deletion request. The following categories of data may be retained after deletion, strictly to the minimum extent required:

All retained data is subject to strict access controls and is processed only for the specific legal or security purpose for which it is retained.

Maximum total time: 30 days from the date of identity verification to full deletion from all active systems and backup snapshots. This is consistent with the timelines specified under the DPDP Rules 2025.

Important Note: WhatsApp Messages Already Delivered

Please note that WhatsApp messages that have already been delivered to end-recipients via the WhatsApp platform cannot be recalled or deleted by Zapwa. Once a message is delivered to a recipient's device, it is stored on that device by WhatsApp. Zapwa does not control the recipient's device, WhatsApp account, or the WhatsApp application itself. Deleting your Zapwa account deletes our copy of the message metadata and any cached message content within our 90-day retention window — but message content already received by recipients remains on their devices and is subject to WhatsApp's own data retention policies. Effect of Account Deletion

Account deletion is permanent and irreversible. Once your deletion request is confirmed and processed, your account and data cannot be recovered under any circumstances. We strongly recommend that you export any data you wish to retain — including contact lists, campaign reports, and message templates — before submitting your deletion request.

Upon deletion, your active subscription will be terminated immediately. No refund will be issued for any remaining subscription period. WhatsApp conversation charges already incurred will not be reversed, as these are paid to Meta and are non-refundable.

Your WhatsApp Business Account (WABA) is not deleted from Meta's systems when you delete your Zapwa account. The WABA remains under your control with Meta. You are free to connect your WABA to another WhatsApp Business Solution Provider or to Meta's own Business Manager after your Zapwa account is deleted.

After Deletion is Complete

Once deletion is complete, we will send a confirmation email to your registered email address (if it is still accessible) stating that your Zapwa account and personal data have been permanently deleted from our active systems.

After deletion, you are free to create a new Zapwa account using the same email address if you wish to use the Service again in the future. Creating a new account will not restore any previously deleted data.
