WhatsApp Message Templates Explained: Marketing, Utility and Authentication
Every business-started WhatsApp conversation needs an approved template. Learn the three template categories, how Meta reviews them and how to write templates that get approved first time.
On the WhatsApp Business API, you cannot send a free-form message to a customer who has not messaged you in the last 24 hours. Instead you send a message template: a pre-written message that Meta has reviewed and approved.
Templates are what make bulk campaigns, order updates and OTPs possible. Getting them right is the single biggest factor in how smoothly your WhatsApp marketing runs.
The 24-hour customer service window
When a customer messages you, a 24-hour customer service window opens. Inside that window your agents can reply with any normal message: text, images, documents, buttons. Once the window closes, the only way to restart the conversation is with an approved template.
The three template categories
Meta sorts every template into one of three categories, and each is priced differently.
1. Marketing
Offers, launches, festive sales, abandoned cart reminders, re-engagement messages. Anything that promotes your business is marketing, even if it also contains useful information.
2. Utility
Messages about a transaction the customer already started: order confirmations, shipping updates, appointment reminders, payment receipts, account alerts. Utility templates must not contain promotional content.
3. Authentication
One-time passwords (OTPs) for logins and verification. These follow a fixed Meta format with a copy-code or one-tap button. Zapwa supports authentication templates and an OTP API for your own apps.
What a template is made of
- Header (optional): text, image, video or document
- Body: the main message, with variables like
{{1}}for the customer name - Footer (optional): a short line such as "Reply STOP to unsubscribe"
- Buttons (optional): quick replies, call-to-action URL, phone number or copy-code
In Zapwa, you can send a different header image for each campaign with the same approved template, so you do not need a new approval every time your banner changes.
Tips to get templates approved first time
- Pick the right category. A "utility" template with a discount code in it will be rejected or re-categorised.
- Give clear sample values for every variable so the reviewer understands the message.
- Do not start or end the body with a variable, and do not place two variables next to each other.
- Avoid vague or threatening language, and never ask for card numbers or passwords.
- Add an opt-out to marketing templates. Zapwa can add a STOP button and automatically stop messaging customers who tap it.
